6. Admin Setup - Permissions, Calendars and Advanced Settings
Overview
As an administrator, you have access to three key configuration areas that control how Status Time and Times works for your organization. This section guides you through setting up permissions, work calendars, and advanced system settings.
Admin Access Requirements
To access admin features, you need:
Jira administrator permissions
Specific module permissions within the app

Understanding the Permission System
Status Time and Times uses a module-based permission system with four distinct modules:

Setting Up Permissions
Access the Permission Management:
Go to Jira Settings → Apps → Status Time and Times
Click on the "Permissions" tab
You'll see all four modules with their current access settings
Configuring Module Access
For each module, you have two access control options:
Option 1: Allow All Users
When to use: For widely-used features like Reports
How: Toggle the switch to "All Users"
Result: Every Jira user can access this module
Option 2: Selected Groups Only
When to use: For sensitive features like Permissions or Advanced Settings
How: Toggle switch to "Selected Groups" and choose specific user groups
Result: Only members of selected groups can access this module
Best Practice Permission Setup
Recommended Configuration:
Reports Module
Access: All Users (most common setup)
Reason: Reports are the primary feature most users need
Work Calendars Module
Access: Selected Groups (site-admin only)
Reason: Calendar changes affect time calculations across the organization
User Permissions Module
Access: Selected Groups (site-admin only)
Reason: Security-sensitive feature that controls access to other modules
Advanced Settings Module
Access: Selected Groups (site-admin only)
Reason: System-wide settings that affect data formats and performance
Important Notes About Permissions
Site-Admin Groups:
Always have access: Site-admin groups cannot be removed from any module
Automatic inclusion: They're automatically included even if not explicitly selected
Visual indicator: Marked with orange "SITE-ADMIN" tags in group lists
Saving Changes:
Changes are not applied until you click "Save Settings"
You'll see a warning banner if you have unsaved changes
All module permissions are saved together in one operation
Work Calendar Management
Understanding Work Calendars
Work calendars define when your team actually works, enabling accurate business time calculations. This is crucial for meaningful time tracking that excludes weekends, holidays, and non-working hours.
Default Calendar
Every installation includes a "Default Work Calendar" that:
Cannot be deleted: Ensures system always has a working calendar
Name cannot be changed: Maintains system consistency
Is used by default: For all time calculations unless specified otherwise
Creating Work Calendars
Access Calendar Management:
Go to admin panel → Work Calendars tab
Click "New Calendar" button
Fill in the calendar form
Calendar Configuration
Basic Information
Calendar Name
Purpose: Identify the calendar (e.g., "US East Coast", "EMEA Team", "24/7 Support")
Requirements: At least 2 characters, must be unique
Tip: Use descriptive names that indicate the team or region
Timezone
Purpose: Ensures accurate time calculations for global teams
Options: All standard time zones available
Important: Choose the time zone where most team members are located
Work Days Selection
Choose which days of the week are working days:
Standard: Monday to Friday (most common)
Custom: Any combination of days
Examples:
Sunday to Thursday (Middle East)
Tuesday to Saturday (some retail)
Every day (24/7 operations)
Work Time Schedule
You have two options for work time configuration:
Option 1: Standard Hours
Set specific start and end times
Can have multiple time slots (e.g., morning and afternoon shifts)
Example: 09:00-12:00 and 13:00-17:00
Option 2: 24-Hour Operation
Toggle "24 Hours" checkbox
Automatically sets 00:00:00 to 23:59:59
Perfect for continuous operations
Multiple Time Slots Example:
Morning Shift: 09:00 - 12:00
Afternoon Shift: 13:00 - 17:00
Total: 7 hours per work dayAdding Time Slots:

Holiday Configuration
Holidays are excluded from the calculations of business time on specific dates.
Holiday Types:
Single Day Holiday
Use for: New Year's Day, Christmas Day, etc.
Configuration: Set date and description
Repeat option: Mark to repeat every year automatically
Date Range Holiday
Use for: Spring Festival, Christmas week, summer shutdown
Configuration: Set start date, end date, and description
Repeat option: Mark to repeat every year (useful for standard holidays)
Calendar Preview
The calendar preview shows you exactly how your configuration works:
View Options:
Week View: Detailed daily breakdown
Month View: Overview of entire month
Navigation: Move between time periods
Legend: Color coding for work days, holidays, and non-working days
Summary Statistics:
The preview includes helpful calculations:
Work Days: Total number of working days
Work Hours: Total hours per week/month
Holidays: Number of configured holidays

Requirements:
Must include both date AND time elements

Query Performance Settings
Maximum Issues Per Query
Controls how many issues can be retrieved in a single database query.
Default Value: 10,000 issues
Range: 0 - 30,000 issues
Impact: Higher values improve efficiency but may affect performance
Choosing the Right Value:
Small Teams (< 100 users): 5,000 - 10,000
Medium Teams (100-500 users): 10,000 - 15,000
Large Organizations (500+ users): 15,000 - 30,000
Performance Issues: Reduce to 5,000 or lower
Settings Validation
The system validates all settings before saving:
Date Format Validation:
Must contain valid date pattern characters
Cannot exceed 50 characters
Must follow recognized format conventions
DateTime Format Validation:
Must contain both date AND time elements
Cannot exceed 50 characters
Must include proper separators
Query Limit Validation:
Must be between 0 and 30,000
System recommends staying under 20,000 for optimal performance
Saving and Resetting Settings
Save Settings Button:
Only enabled when changes are made
Saves all settings simultaneously
Shows loading state during save operation
Reset to Default Button:
Restores the factory default values
Requires user confirmation
Does not auto-save (you must click Save after reset)
